Collecting your information

Each of the method templates provided with PROJECT in a box contains a set of spreadsheets for collecting project control information.  These spreadsheets can be used like any other file with access to them being managed by permissions as appropriate.  This means they can even be sent out to partners and suppliers to contribute to if required.

 

The spreadsheet tools have been developed to provide look up value management and to generate analysis to help with the management of that area and are generally locked down to protect the consistency and structure of the data being collected.

 

As these are spreadsheets many customers modify them as part of their personalisation of the method templates to collect additional or reduced information or to reflect the different terminology used in their organisation.

 

Some customers even include their own template files into their method to collect consistent project by project information on benefits, recruitment, environmental impacts, construction snag lists and a wide range of other topics.  The Portfolio reporting capability enables users to build these additional data sets into their methods so that they can be reported up through projects and rolled together at a portfolio level alongside the standard sources.

 

Plan and resource data can be collected and managed in MS Project, using an excel template or in a range of open source planning applications.

Using your information

When a permitted user produces a report the defined data set is extracted from the current version of each source file appropriate for that project.   The data is then processed and presented in the required format by the report.

 

With this consistency of collection data can be presented by project or can be easily rolled up across a group of projects (a portfolio) at the push of a button saving a huge amount of time when it comes to reporting or analysing the strengths and weaknesses in the portfolio.
