


Documenting your Projects
When you create a new project from one of your method templates a standard set of blank documentation will be provided structured into the required processes. These default documents can include any type of files you want and links to standard sources of reference materials such as guidance or corporate policies.
Use access to the documentation is under permission control and users may be able to view content, edit content and add new content, own and delete content or may have no permissions to access it at all. A standard EDMS approach to document management is used withView, Check Out and In as well as undo capablities. Views and Check outs can be local for your own action or on to email to send immediately to others enabling the team to interact efficiently with external partners.
The addition of a new file or an updated version of an existing file is reflected in version numbers and the configuration management system. These actions can also automatically trigger notification emails to be sent out if requested.
All user actions around documents and files is stored in detailed audit trails available to the each user and for management reports including project assurance and dashboards.
Searching is also supported on the actual content of the file versions in some Editions and on ‘file notes’ in Personal Version. Also Drag and Drop file management makes for easy integration with the desktop.
The permissions model and ability for PIAB to provide access via the web gives you a range of options as to how you can share your project documents.
As PIAB is essentially file based you can choose to check out a file and send it to anyone you want via email for them to update and send back to you.
If you give a team member, even a partner or a customer a PIAB licence you can control which projects and specific documents that user (or user group) can view, edit or control. This is much better than being a librarian, constantly loaning and returning files and you can even view their activity!
