Portfolio Report Aggregation

New features allow you to aggregate user-specified spreadsheets from project to portfolio level. Please see the following for more detailed information:

KB2510250 Portfolio Reporting Features in 2.5

Spreadsheet Table Names and Cell Ranges

There are now various ways to specify the cell ranges of spreadsheet tables in the Project Summary Information form. These create report tables with different name formats:

Type Example Report Table Name
A worksheet and cell range “Export Data” “A1:D5” spreadsheet.xls (Export Data.A1:D5)”
A named range in the spreadsheet “NamedRange1” spreadsheet.xls (NamedRange1)”
A 'Template Range' “!Portfolio Risk” “Porfolio Risk”

A new feature is the use of the ! character in the 'Template Range', e.g. in '!Portfolio Risk' above. A 'Template Range' is one that you specify in the project template itself. It is a definition of a cell range in the spreadsheet. You can add these ranges by:

  1. Editing the template in Method Manager.
  2. Selecting 'File | Template Properties' from the menu.
  3. Selecting the tab 'Spreadsheet Named Ranges'

Customisable Dashboard Report

Previously, the contents of the Dashboard Report was pre-defined and you couldn't change it. Now, the new 'Dashboard Report' form in the client allows you to set your own default Dashboard settings.

These settings are also picked up in hub to create dashboard report there. You need to logout of the client and hub, then log back in for these to be picked up, or use the 'Options | Save Options to Server' button.

Portfolio/Project Status Window

In the client, this shows Portfolio and Project information in a separate window.

  • It can be optionally shown/not shown on startup - see the Options form.
  • Otherwise it's available from the 'Window' menu.
  • Colors can be defined in the project template. They can be edited in Method Manager.

Process Images Show in Enterprise Hub

Process images are now shown in the Explorer Page of Enterprise Hub. They are clickable just like in the client to navigate around the project processes.

The server config file has some new entries related to images and navigation. You can set these using the 'Hub' tab in the 'PIAB Server' program:

  • Show Process Menu - Toggle the process menus on/off. These text-based menus are derived from the template, but most people use the process images in preference.
  • Process Image Max Width - Set the max width of the process image when shown in 'full size'.
  • Process Image Quality - Set the % image quality.
  • Thumbnail Max Width - Set the max width of the process image when shown in 'thumbnail view' in the Explorer page.

URL Switches

The following switches can be put in the URL calling the pages to modify how the pages are displayed. This is normally for including the pages embedded as panels in other web application e.g. Sharepoint and Project Server.

So a typical URL (e.g. for sharepoint inclusion) with no headers, menus etc. is: “myserver/piabws/Explorer.aspx”

File URL Shortcuts

Both the hub and the client now offer you direct shortcuts to the project files that you can save to your desktop, include in other documents or email to colleagues. Select a file in the 'Explorer' window of the client or the hub, and use the 'File Shortcut' button to obtain the shortcut.

As long as there is access to the server, these shortcuts will open the Enterprise Hub web page with the file in view, or open the file directly.

Either of the form

These shortcuts are now also included in the emails triggered by document watches for AddFileToDoc and CheckinFile. To facilitate this, there is a new server config setting that you can set in the PIAB Server tool, Hub tab:

If this value is not set, then the server attempts to use the URL given in the request. This may not work well in all circumstances, so an explicit setting is recommeneded.

New Drag and Drop Features

In the client, you can now use drag-and-drop to take a local copy of a selected file, or a complete document (i.e. a set of files). Optionally you can specify that they are zipped or plain. This is useful, for example, in preparing attachments to emails to your colleagues.

You can still drag files from your desktop into the client, to add them to an existing document. However, the 'drop' area is now restricted to the 'Add File' button in the Explorer Document panel.

Deployment Client

The PIAB Server tool now has a tab for managing the downloadable Deployment Clients that you can server up to distribute to users via the Enterprise Hub web page. Previously, this was a command-script only sub-system for use by administrators who were happy working with command line applications. In 2.5 there is a wizard-style panel to help you configure, test and build the clients.

This is still quite a technical operation, and we want to retain the freedom for sysadmins to make highly-customised deployments. However, the default operations will still give you a usable deployment client.

2.5 ships with a default client already built and available from the home page of Enterprise Hub.
