The Storyboard here provides an introduction to many of the screens provided within PROJECT in a box or for the reports and dashboards produced as output from it.

 

A key capability of PROJECT in a box is the ability to personalise the content of your system and methods, except where stated these screens show the system in its default state and do not reflect typical customer personalisation as we do not display customer work on public websites.

PROJECT in a box comes pre populated with the full Authentic PRINCE2 methodology, processes diagrams and templates.

 

Uniquely PROJECT in a box supports any number of different methods at the same time so you can have a light version of PRINCE2 for your low cost, low risks also running in the same system

In addition to the two methods shown above we also include an intermediate derivative of PRINCE2 giving your typical projects more closely aligned starting points.

The final standard method template is the Proposal Preparation Process which will help you through delivering large bids in a controlled manner

With PROJECT in a box you can also personalise your methods or create custom/bespoke methods to match existing processes used in your business, as illustrated in this example.

 

A permissions model is built into PROJECT in a box controlling which users can access which projects and what sort of access and capabilities they have once they work on them

 

After using the process diagrams to navigate to a process to work on the user works in the File explorer which shows the documents and files relevant to the current process.  What the user can do with this is again controlled by permissions model at a document level (see below).  Including viewing, checking out and in with changes, distributing by email, adding new content, setting up watches and notifications and a range of reporting actions.

All project content, including historical versions is indexed so if you want to find references to a subject, name, value, place or discover when an issue first came to the surface the keyword search is priceless.

Finer control of project documents is also possible and the project manager can administer which users or groups of users have what sort of access to project files, emails and links

In addition to the standard template files in word your projects come provided with a set of logs and other project control tools which help ensure a consistent entry of important project data, this can then be reused in a number of ways.

Each tool has its own analysis pane so you can immediately see the impact you are having on your project.  These are locked down to ensure a consistent analysis across all projects.

Plans can be held in the system either as MS Project, excel, OpenProj or equivalent MS XML format, or drawn directly from Project Server/EPM.  This is then also available for reporting.

Manager users can produce reports and dashboards and can choose how to publish these, in this case a Dashboard published to word containing all the project status information and latest data from risk, issue, quality logs, finances and project plans.

For more detail a Project report can be produced which also includes commentaries, highlight reports, your own additional data sources as well as user activity data, all selected by wizard.  All reports can be branded and easily published for sharing.

A range of Portfolio reports can also be produced using a wizard to report on a collection of projects, perfect for a more strategic view.  You can also set your own project attributes you want to have collected and reported on as shown here.

When managing a collection of proposals under PPP the information required is different in nature and PROJECT in a box comes with a Sales Funnel report to help you keep a handle on how new work is flowing into the business.

Project status, descriptions or even your custom attributes are all available for you to view when selecting a project or from a portfolio so you can get an early idea about project performance.

In addition to the software client there is also a pure browser client called the enterprise hub, this provides a lighter environment for communications and occasional team access.  In tune with the communications theme, here when selecting a project we see more status related information.

If users have a Manager or Team licence they can still use this interface to manage documents including sending by email and adding new files or links.

All Enterprise Hub users can use the report viewing interface which allows them to see reports published to them.  When combined with watch notifications this capability is great for distributing reports of all types.

If you have a Manager licence you can also use the Enterprise Hub to produce a project Dashboard or report in real time, giving you latest status theoretically from any where as this client can even be operated from a smart phone.

Working with emails is an important capability and supported in both clients.  Users can send copies of files or whole documents to other people for information or for them to work on.  These communications groups can be saved if used frequently.

Good integration is provided with Outlook supporting tasks and appointments as well as emails and using an Outlook plug in to manage check ins.  For non Outlook users an SMTP email option is provided to support sending from the system.

The type of access and therefore functionality available to a user is determined by the type of licence they have allocated. An administrator can set up or adjust these allocations at any time to get the most from the licences you have purchased.

Project Assurance is very important and PROJECT in a box records all user actions noting which process they were in and other details.  Users can see their own audit trail and Project Managers can run a report on this for all the people in their team.

This user activity log is a valuable source of data for reporting and can tell a project manager exactly which users in, say the last five days, have viewed or worked on a particular file, in this case the Business Case.
