E-Capacity Edition was developed in partnership with the eCapacity Building programme to provide a tool to help new local government project managers through to project management maturity.

The recommended project management tool for local government

PROJECT in a box are delighted to be supporting the E-Capacity building programme by releasing a customised version of the popular Community Edition tailored to the needs of Local Government organisations.

Users in Local Authorities, PCTs, LHAs, LEAs, Fire and Police services have been a significant contributor to the demand for the standard Community Edition so when we were approached by the E-Capacity Building Programme to produce a version specifically for these users we leapt at the chance. The result of this collaboration is a one stop shop for local government project managers providing them with decision support tools to decide which project methodology is appropriate for them and then four different methodologies and the software document management system to enable them to be delivered effectively.

Under the terms of the licence the E-Capacity edition is only available to local government organsiations. This is policed by ensuring that the registration form is completed with an appropriate email address extension, unfortunately this means that you cannot use a personal email account to register for and download this software.

The email address provided will be passed to the E-Capacity Building Programme team to assist in the monitoring of uptake on their programme deliverables, it will not be passed to commercial third parties and we will not contact you back unless you tick the 'please inform me of new product releases' box. This is in keeping with our privacy policy

What's more its free, this is not a 'trial' offer, the product you download is not limited in capacity or in time meaning you can use it as long as you want and on as many projects as you want.

E-Capacity Edition delivers the core PROJECT in a box benefits by helping you to improve the delivery of projects by the traditional measures of time, cost and quality.

E-Capacity Edition will also provide your organisation with additional benefits:

• No adoption/implementation threshold - a system that is free, very easy to implement, that can be populated using your existing project documentation and will be available for your use within seconds.
• Scaleable and flexible system - Suitable for one to ten thousand projects but really limited to personal use or the central administration of small project teams. You can also evolve your approach to delivering projects by altering the template structure and contents (Community Edition only supports a single template).
• Organisational learning - Built closely around PRINCE2™ and with the OGCs Process maps, template documents and glossary included the methodology is reinforced on the job.
• User centric benefits - although built around a strong process framework, when the user is in the system it feels like the system supports the user and not the other way around. It has become common for PM systems to become the centre of the business activity and the PM can feel like they are just feeding the system, leading to low motivation, not with PROJECT in a box.
• Best practice recognition - by using the recommended tool from the E-Capacity building Programme you will be adopting recognised Local Government best practice and your organisation will be registered as proactively adopting this.

Features

The E-Capacity Edition provides all the functionality of the Community Edition (see comparison matrix). The section below addresses some of these in more detail and covers the functionality specific to the E-Capacity Edition.

• Maturity Decision Support - A simple excel based maturity decision tool is provided to enable users to decide which maturity level they should operate at and hence which set of templates they should use.
• Multiple maturity level support - The E-Capacity Edition version comes prepopulated with the three recommended methodologies for Focusing, Practicing and Exploiting. A second version of the standard PRINCE2™ (Exploiting) methodology is provided so that users can meet the aspirational 'Transforming' level by tailoring PRINCE2™ to their own particular needs.
• Easy Navigation structure - You navigate your project using the process diagrams so familiar from the PRINCE2™ manual or the other methodologies on offer. Once at the required sub process the system will show you which documents and files you should be producing, reviewing or completing there.
• Document and file management - View, sign in and out individual files or whole documents using the very intuitive file explorer.
• Audit trail - View the audit trail for documents so that you can see what changes were made when and view the historic copies of the documents in question.
• Manage your whole project - So many PM systems are built to let you manage the project but the 'doing' of the project is achieved more traditionally. Not with E-capacity Edition, the Specialist Products section lets you create your required project structure outside the management products and manage it all from the same interface, subject to the same audit trail. This is more limited than is supported by the Professional edition.
• Document Index - An alphabetic list of all the documents in the project to help you find the file when you can't remember which process it is used in!
• Export - You can export the latest version of every file used in your project. This collection of documents is packaged by the system for you into a folder with an HTML navigator enabling you to post it to your intranet, send to a colleague or archive on the completion of your project.

If desired users will be able to upgrade seamlessly to the Professional Edition and migrate any projects they have been running at the PRINCE2™ (Exploiting) maturity level. This would enable access to projects to be shared.

Deployment

In keeping with its ethos of keeping it simple the E-Capacity Edition is very easy to deploy. All you need is a Microsoft operating system W95 or newer and it can be installed on a desktop PC, a laptop or ever a server if you should wish.

Users install the software themselves using the guided install exe, we provide email support for free although 99.85% of our Community Edition installs have not even required phone or email support because of our extensive multi platform testing undertaken. As a variant of the Community Edition which has also been extensively tested, we expect the E-Capacity Edition install to perform to the same high standards.

Due to the terms of our Licence to distribute E-Capacity Edition we don't provide any commercial implementation consultancy around this product.

Upgrade

The many of you who have been using the standard Community Edition for some time and now find that you want more will be delighted to hear that there are a range of options open to you:

Community EditionPlus

Community EditionPlus (CE+) has exactly the same look and feel as Community Edition and in fact shares the same technical base with its light impact and single user format.  There though the similarity ends as CE+ also provides the P2ABC methods and the P2 Guidance Module to provide significant additional capability, guidance and value for a modest price tag.

CE+ loads directly over the top of your existing CE enabling you to continue to access your existing projects but to now obtain the full 25,000 words of Authentic guidance on your existing PRINCE2 projects.  In addition you can more easily work with smaller and lighter project requirements using the pre-scaled AccessP2 and BasicP2 project types ensuring your valuable project resources are better directed at all times.

Professional Edition

If you want to share access to your projects and let other team members or even customers and suppliers gain permissions controlled access to parts of the project documentation you will need to upgrade to Professional Edition.  Once you are on the Professional Edition platform you will gain the ability to control access to parts of the project, integrate with Outlook, undertake reporting and also tailor the requirements for a project once it is launched.  Professional Edition also comes with P2ABC included and P2 Guidance Module can be purchased as an additional plug in if required.

As with CE+ you can take you projects with you when you upgrade from CE making the transition a relatively straight forward one with no retyping of content required.
